Every growing team hits the same wall. Work arrives from email, forms, support tickets and chat, and someone has to copy it into the project tool by hand, assign it, and remind people about it. So people search for how to create tasks automatically, how to set up a new project the same way every time, or how to keep goals and projects in sync without a weekly status meeting. If your team runs on [Asana](https://apis.io/providers/asana/), the answer to almost all of those is already there in its API, which lets other software, and now AI assistants, do that copying, assigning and updating for you.

## What Asana does

Asana is a web and mobile application designed to help teams organize, track, and manage their work. You can find it at [asana.com](https://asana.com). The Asana API lets other applications reach into that same work: the projects, the tasks inside them, the portfolios that group projects, and the goals the projects are supposed to move. That means the work can be created and updated by the systems where it starts, rather than retyped.

## What you can get done

I map each provider to business capabilities, the plain jobs a business needs done, and then to the API operations that do each job.

### [Project Management](https://apis.io/capabilities/project-management/)

The core of Asana: creating projects, finding them, updating who owns them, and cleaning them up when they are done.

- `GET /projects` lists projects across a workspace or team.
- `POST /projects` creates a new project.
- `PUT /projects/{project_gid}` renames a project or changes its owner.
- `DELETE /projects/{project_gid}` deletes a project you no longer need.

### [Strategy Execution Management](https://apis.io/capabilities/strategy-execution-management/)

This is the goals side of Asana, which is how a company connects its quarterly objectives to the work that is supposed to deliver them. If you track OKRs, this is where they live, and the API lets you keep them current from the systems that actually hold the numbers.

- `GET /goals` lists the goals a team has.
- `POST /goals` creates a new goal for a team.
- `PUT /goals/{goal_gid}` changes a goal's status, owner or due date.
- `GET /goals/{goal_gid}` shows the full record of a goal.

### [Portfolio Management](https://apis.io/capabilities/portfolio-management/)

Portfolios group related projects so leaders can see a program of work at once. You can build and maintain them through the API, so the portfolio view stays right as projects come and go.

- `GET /portfolios` lists the portfolios you own in a workspace.
- `POST /portfolios` creates a portfolio.
- `PUT /portfolios/{portfolio_gid}` renames a portfolio or changes its color.

## Workflows that put it together

A single call is rarely the whole job. A workflow is a recipe of several calls in the right order, written down so software can follow it. Asana has 22 of these indexed on APIs.io, and they read like a list of things teams wish happened on their own:

- [Bootstrap a Project Board](https://apis.io/arazzos/asana/asana-bootstrap-project-board-workflow/): create a project in a team, add a section, drop in a first task, and open the discussion with a comment. This is the "set up every new client project the same way" job.
- [Assign and Add Followers to a Task](https://apis.io/arazzos/asana/asana-assign-and-follow-task-workflow/): create a task, assign it to an owner, and add the people who should be notified.
- [Add an Existing Task to a Project Section](https://apis.io/arazzos/asana/asana-add-existing-task-to-project-workflow/): confirm a task exists, move it into a section, and note the move with a comment.
- [Attach a File to a New Task](https://apis.io/arazzos/asana/asana-attach-file-to-task-workflow/): create a task and attach a link to the file it is about.
- [Add a Custom Field to a Project](https://apis.io/arazzos/asana/asana-add-custom-field-to-project-workflow/): create a workspace custom field and attach it to a project, so every project tracks the same thing.

## Ask for it in plain language

A lot of this work is moving to people asking an assistant in a sentence. I write conversational overlays that map the kinds of questions someone might ask to the operation that answers them, so the assistant knows which call to make. For Asana that includes:

- How do I list projects across a workspace or team?
- How do I create a new goal for my team?
- How do I change a goal's status, owner or due date?
- Which portfolios do I own in a workspace?
- How can I rename a project or change its owner?

These are my phrasings, not a record of what people actually ask. Asana has 36 of these overlays on APIs.io; the [allocations overlay](https://apis.io/overlays/asana/asana-allocations-api-phrasing-overlay/) is one example.

## Getting started

Asana is a paid product with self-serve signup, and the API is a hosted service you call. The reference documentation is organized by object, for example [attachments](https://developers.asana.com/reference/attachments) and [custom fields](https://developers.asana.com/reference/custom-fields). Everything I have indexed is on the [Asana profile on APIs.io](https://apis.io/providers/asana/), including the [Attachments API](https://apis.io/apis/asana/asana-attachments-api/), the [Custom Fields API](https://apis.io/apis/asana/asana-custom-fields-api/) and the [Events API](https://apis.io/apis/asana/asana-events-api/). Before you hire someone to keep your project board tidy, check whether the tools your work starts in can talk to Asana directly.
